The Problem: Leads Don't Assign Themselves

A new lead arrives from your website form at 9:02 AM. Another comes from an email alias at 9:15. A third is imported from a trade show spreadsheet. Someone has to decide who gets each one.

When a sales manager does this by hand, leads sit unassigned, the same few reps get overloaded, and follow-up slows down. Leads that wait tend to go cold.

Rule-based lead assignment in Odoo 20 CRM solves this. You define the rules once, and Odoo routes each lead to the right sales team and salesperson automatically.

Quick Answer: How It Works

To set up rule-based lead assignment in Odoo 20 CRM:

1. Turn on Rule-Based Assignment in CRM settings.

2. Choose whether it runs Manually or Repeatedly.

3. Add a domain (a filter) to each sales team.

4. Add rules and a capacity limit for each salesperson.

5. Click Assign Leads to test, then check the pipeline.

The sections below walk through each step.

How Odoo Routes Leads

Odoo assigns leads in two steps:

1. Lead to the sales team. Each team has a domain describing the leads it should handle.

2. Lead to salesperson. Inside the team, each member has their own rules and a capacity limit.

Odoo checks unassigned leads against these rules and distributes them. Leads with higher probability scores are handled first, so your best prospects get attention first.

One behavior to know up front: once a lead is assigned to a salesperson through this feature, Odoo converts it into an opportunity automatically. Your reps will see it in the pipeline, not in a separate lead list.

Step 1: Enable Rule-Based Assignment

Go to CRM > Configuration > Settings and find the Rule-Based Assignment option in the CRM section.

Tick Rule-Based Assignment. Note that the separate Leads checkbox beside it adds a qualification step before an opportunity is created. It is a different setting.

Choose How Often It Runs

Under Running, pick one of two options. Your choice applies to all sales teams by default.

Manually. Odoo assigns leads only when someone clicks Assign Leads. Nothing runs in the background. This suits teams that want to review incoming leads first, or are still testing their rules.

Repeatedly. Odoo assigns leads on a schedule. Set the interval, anywhere from minutes to weeks, and Odoo handles the rest. This is the right choice for most teams, since new leads are routed without anyone clicking anything. The Next Run field shows when the next assignment is due.

Tip: Even with a schedule, you can run assignment on demand using the refresh icon beside the Running field, or the Assign Leads button on a team.

Step 2: Define Team Assignment Rules

Open CRM > Configuration > Sales Teams and select a team. On the right side, under Assignment Rules, you will see a Domain field. This tells Odoo which leads belong to this team. Click Edit Domain to change it.

Common team rules include:

- Regional teams: Country = India, or State = Kerala

- Product-based teams: Tag = "Enterprise" or Tag = "SMB"

- Source-based teams: Source = "Website" for an inbound team, Source = "Trade Show" for an events team

- Deal-size teams: Expected Revenue above a threshold goes to your key accounts team

The domain editor is a point-and-click filter builder, so you do not need code.

Use Probability to Protect Your Reps' Time

The team in the screenshot uses one rule: Probability is greater than or equal to 20. Odoo shows how many records match (26 in this example), so you can check a rule before relying on it. This keeps very low-probability leads out of a team's queue.

Two other fields in the same panel are worth knowing:

- # Leads/Opps assigned this month shows how many leads the team has received.

- Lead Average Capacity shows the team's average capacity, which Odoo uses when spreading leads.

Step 3: Define Salesperson Rules and Capacity

Now go one level down. On the same team form, open the Members tab and click a salesperson. Open the Lead Assignment tab. You will see three settings:

- Auto-Assignment Rules. Choose how leads are given out. In the example, In rotation, with a limit is set to 30 leads per 30 days, and the field shows how many are already assigned (19). This cap stops one rep from being flooded.

- Give priority if. Leads matching this rule are offered to this salesperson first.

- Only assign if. A rule specific to this person. In the example, only leads with Probability greater than or equal to 20 are assigned. You might instead give one rep only "Retail" leads and another only leads from Gulf countries.

This is what makes routing fair. A senior rep can take 50 leads a month and a new hire 20, without anyone intervening.

Step 4: Run Assignment and Verify

You do not have to wait for the schedule. On the team form, click Assign Leads to run the assignment right away. It assigns leads that are currently unassigned and match the team's domain.

Then open CRM > Pipeline and check:

- Did unassigned leads get a team and a salesperson?

- Do the assignments match your domains?

- Is any one rep carrying far more than their share?

Example: Regional Routing for Two Teams

A company sells across India and the Gulf. It sets up two teams:

- India Team: Domain = Country is India.

- Gulf Team: Domain = Country is in the Gulf countries it serves.

Inside the India Team, a senior rep takes up to 50 leads per 30 days. A new hire takes up to 20. Both use Only assign if to focus on the leads that fit them. Assignment is set to run repeatedly, every day. Each morning, new leads from the website form, email alias, and imports are already routed.

Pausing Auto Assignment

Sometimes you need to stop leads from being assigned: a rep is on leave, a team is being restructured, or you are editing rules and do not want leads routed mid-change. You can pause at two levels, and your rules and capacity settings stay saved either way.

Pause a Whole Team

Open the team form and turn on Pause auto assignment under Assignment Rules. The team receives no new leads from automatic assignment. Turn it off to resume.

Pause One Salesperson

Open the team form, go to the Members tab, click the salesperson, and turn on Skip auto assignment. They receive no new leads, while leads already assigned to them stay put. Turn it off to bring them back.

Note: A paused team or salesperson can still be assigned leads manually.

Troubleshooting: Why Wasn't My Lead Assigned?

If a lead stays unassigned, check these in order:

1. Has it run yet? On the Repeatedly setting, check Next Run. Or click Assign Leads to run it now.

2. Does the lead match a team domain? A lead that matches no team's domain has nowhere to go. Use the record count beside the domain to test it.

3. Is the probability high enough? A rule such as Probability >= 20 will skip lower-probability leads.

4. Is the rep at their limit? Check the "assigned" count against the 30-day cap.

5. Is the team or rep paused? Look for Pause auto assignment or Skip auto assignment.

6. Is the lead already assigned? Assignment works on unassigned leads.
